Booking and scheduling systems

Off-the-shelf tools handle one person booking one slot. They struggle when two sides have their own screens, when rules decide whether a booking is allowed, or when several locations need their own permissions. That is where a custom system pays for itself.

What I build

  • Availability, bookings and cancellations for customers, staff or both sides
  • A written rules engine: hard rules that block, soft rules that warn
  • Reminders and cover messages over email, SMS or WhatsApp, with retries and escalation
  • Multi-location roles and permissions designed in from the first table
  • Reporting and hour totals ready to export

How the engagement runs

A written scope first, then fixed-price milestones with acceptance criteria, weekly demos on a live staging link, and handover documents. The full process is on How I work.

Proof

  • Clinical Stack: Multi-location clinical staff scheduling with a rules engine that guarantees valid rosters, a chat assistant that drafts schedules from plain-language requests, and WhatsApp shift cover.
  • Reasy: A rental-matching app that pairs seekers, roommates, owners and agents by lifestyle fit, not keyword search. Built for the Israeli market in three languages.

Questions

How much does a custom booking system cost?

It depends on four things: who books whom, the rules, the integrations and the number of locations and roles. The blog post on cost explains each and what to leave out of version one.

Can I start small and add rules later?

Yes, if the database is designed for the end state. Ask how a second location would be added before paying for the first.

Should I build or use Calendly or Acuity?

If availability is simple and you are the only resource, use an existing tool.

How is the work priced?

A written scope, then fixed-price milestones with acceptance criteria and a demo on a live staging link.
