Clinic staff scheduling

Many practices run the rota in a spreadsheet and the changes in a group chat. Shifts get assigned by name instead of credential, the same three people cover every gap, and the hour totals are rebuilt at month end. This is the problem Clinical Stack, a live clinic scheduling product I built, was made to solve.

What I build

  • One schedule per practice, viewable by location, job type and employee
  • Credentials carried on shifts and people, with mismatches blocked
  • Validation before publishing: hard rules block, soft rules warn
  • Automated shift cover with an escalation ladder over WhatsApp
  • Requests with an approval trail, and hour totals you can export for payroll

How the engagement runs

A written scope first, then fixed-price milestones with acceptance criteria, weekly demos on a live staging link, and handover documents. The full process is on How I work.

Proof

  • Clinical Stack: Multi-location clinical staff scheduling with a rules engine that guarantees valid rosters, a chat assistant that drafts schedules from plain-language requests, and WhatsApp shift cover.

Questions

Does it check credentials?

Yes. Shifts carry required credentials, people carry held credentials, and a mismatch is refused rather than flagged.

Can one schedule cover several locations?

Yes. One schedule per practice, with per-location permissions for site managers and a group view for the owner.

Does it integrate with payroll?

It produces accurate hour totals per person and period ready to export. The payroll system stays separate.

Is it HIPAA-aligned?

It follows HIPAA-aligned patterns: least access by role and an audit trail of changes.
